Smart4Aviation to Deliver Weight & Balance and Load Planning Solution for easyJet

Smart4Aviation, a global provider of innovative airline IT solutions, has signed an agreement on 15th of December 2025 with long-standing customer easyJet to deliver Smart LOAD, its fully exception-based weight & balance and load planning solution. The implementation marks a key milestone in easyJet’s journey towards centralized, highly automated load control operations.

easyJet and Smart4Aviation share a well-established partnership, with the airline already leveraging Smart4Aviation’s mobile solutions for Pilots and Cabin Crew, supported by the advanced communication and alerting module Smart COMM. Building on this proven ecosystem, easyJet’s decision to adopt Smart LOAD was a natural progression aligned with its operational efficiency strategy.

By centralizing load planning on Smart4Aviation’s integrated platform, easyJet aims to unlock tangible operational benefits, including enhanced automation, fuel savings, improved on-time performance, and significantly reduced aircraft turnaround times. A key driver is the minimization of manual effort required from flight crews during Load and Fuel Confirmation processes, enabling greater focus on core operational priorities.

Smart LOAD is a state-of-the-art, exception-based weight & balance solution designed to automate and optimize load planning, engaging operational staff only when deviations or irregularities occur. The system supports both centralized and decentralized load control models and is suitable for airlines as well as ground handling organizations. Highly configurable, Smart LOAD adapts to diverse operational workflows and stakeholder requirements, covering not only core load planning but also adjacent processes such as flight planning, baggage and cargo planning, fuel loading, passenger reconciliation, and the captain’s final approval. The solution fully complies with international air traffic regulations and airline-specific business rules, including cargo compatibility, Dangerous Goods handling, and MEL item processing.

Smart LOAD also includes a dedicated mobile extension available on EFB, already in use by easyJet pilots, eliminating the need to introduce additional cockpit applications. In addition, Smart4Aviation provides a web-based mobile application built on Progressive Web Application (PWA) technology, enabling access across a wide range of mobile devices and platforms. This mobile capability is designed to streamline workflows for ramp agents and other turnaround stakeholders who do not have access to desktop systems or EFBs.

The solution will be deployed in the AWS infrastructure as an extension of the existing installation.

Smart4Aviation Extend Partnership with Smartwings

Smart4Aviation is pleased to announce the extension of its partnership with Smartwings, the leading airline in the Czech Republic, through the signing of a new contract covering the implementation of additional modules from the Smart4Aviation portfolio.

Building on the implementation of the state-of-the-art Electronic Flight Folder (EFF) for pilots, Smartwings will now expand its digital ecosystem with four advanced operational solutions:

Smart COMM – an integrated platform for secure messaging, operational alerts, and flight monitoring, designed to streamline decision-making and enhance situational awareness across all operational teams. The solution includes a mobile iPad extension, enabling seamless collaboration with flight and cabin crews.
Smart BRIEF CABIN – a dedicated solution for cabin crew, fully integrated with the pilots’ platform, delivering digital briefing packages, seat maps, documentation, and operational forms in one unified environment shared with pilots.
Smart VIEW+ – real-time flight tracking with interactive maps, ADS-B data, and GADSS-compliant monitoring, providing full operational visibility and supporting the highest safety standards.
Smart OPERATIONS MANAGER – a dynamic, real-time schedule and fleet management solution that enables efficient aircraft utilization, proactive disruption handling, and end-to-end operational control.

All modules will be delivered within a single, unified platform, ensuring seamless integration, consistent data management, and a true “single source of truth” for all operational departments. This approach will strengthen data integrity and security while significantly increasing operational efficiency and reducing overall costs.

The entire platform is hosted on Amazon Web Services (AWS) and managed by Smart4Aviation. The existing infrastructure will be extended to accommodate the additional modules, ensuring scalability and enterprise-grade performance from day one.

The new implementation will further tighten system integration across Smartwings’ operational landscape. Smart COMM, integrated with Smart OPERATIONS MANAGER and Smart VIEW+, will streamline operational control and decision-making, enhance cross-team collaboration, and reduce the number of tools required to deliver time-critical information to the right stakeholders.

From a delivery perspective, the first phase will focus on Smart COMM and Smart BRIEF CABIN, followed by Smart VIEW+, and finally Smart OPERATIONS MANAGER. The project will leverage the existing integrations and core modules already deployed as part of the EFF system implementation, enabling a fast and low-risk rollout. The final phase will include joint enhancements to align Smart OPERATIONS MANAGER with Smartwings’ specific operational processes.

Smart4Aviation will provide Cabin Crew Solutions for Philippine Airlines

Smart4Aviation, a global provider of innovative airline IT solutions, today announced the signing of a strategic agreement with Philippine Airlines (PAL), the flag carrier of the Philippines, to deploy advanced mobile and web-based applications that enhance cabin crew operations and streamline administrative processes. The contract, signed on September 25, 2025, also covers PAL's sister company PAL express.

Under the agreement, Smart4Aviation's Smart MOBILE iOS iPad platform will be implemented across PAL's cabin crew teams. The solution integrates multiple operational modules into one seamless, user-friendly application, enabling crew members to access essential flight and passenger information, digital documents, and reporting tools on the go.

Key modules include:

- Smart CORE / SIS / PORTAL — central administrative platform with user management, aircraft database, and secure access portal.

- Smart BRIEF CABIN — briefing package, flight summaries, crew & passenger data, destination contacts, and required declarations/forms.

- Smart CREW INFO — activity overview and personal notes for crew members.

- Smart DOC — centralized digital document repository.

- Smart eFORMS — customizable electronic forms to manage reporting and workflow processes.

The platform will integrate with PAL's existing IT systems and be hosted securely on Amazon Web Services (AWS) infrastructure managed by Smart4Aviation.

Smart4Aviation User Conference 2025

At the beginning of October, we had the pleasure of hosting our annual User Conference at the beautiful Stradom House Hotel in Kraków. Over three inspiring days, customers, partners, and our product teams came together to exchange knowledge, share innovations, and discuss the future of airline operations technology.

Tuesday - Welcome Evening

The conference opened on Tuesday evening with a warm and informal networking event designed to help our guests connect before the main sessions began. We were delighted to welcome more than 50 participants, including representatives from leading airlines and partners from across the industry. The evening took place in a truly unique venue - a 14th-century chapel beautifully converted into a modern bar, creating an unforgettable atmosphere that blended history with innovation. Guests were greeted with a relaxed setting, excellent drinks, and plenty of opportunities to meet fellow participants, exchange first impressions, and start conversations that continued throughout the week.

Wednesday – 1st Conference Day

The first full day of the User Conference focused on industry trends, innovation, and product evolution. We began by looking at the current challenges airlines face and shared how our company is addressing them with new technologies and smarter workflows. We were pleased to welcome Aleksandr Vasilevich (Account Executive) from Amazon Web Services, who spoke about our strong partnership and how we rapidly adopt the latest AWS cloud technologies to power scalable, secure, and innovative solutions for our customers.

The day featured a deep dive into our product suite, with special emphasis on the latest enhancements to Smart OPERATIONS MANAGER (our dynamic real-time airline schedule and fleet management system), including improved planning and visualization capabilities. We also explored the broader evolution of our platform - from mobile applications and progressive web apps to new collaboration tools (like instant chat powered by Rocket.Chat) and user experience improvements.

Our partner Toby Tucker (EMEA Sales Director) from FlightAware shared how FA’s data is integrated into our solutions to improve decision-making and situational awareness, and highlighted the strength and future potential of our collaboration. The day concluded with a guided tour of Kraków and a networking dinner at a nice restaurant, where guests enjoyed great food, conversation, and the chance to deepen connections made during the event.

Thursday – 2nd Conference Day

The final day of the conference highlighted cutting-edge developments and forward-looking innovation. We began with an inspiring session from Qantas, who showcased our jointly developed flight planning system and explained how it will help them operate the world’s longest commercial route through their Project Sunrise- a powerful example of technology shaping the future of aviation.

The agenda then shifted to product roadmaps and upcoming enhancements across our suite, including our communication & alerting solution (Smart COMM), situational awareness and flight tracking system (Smart VIEW+), and Weight & Balance and Load Planning system (Smart LOAD).

A key highlight of the day was the introduction of our AI-driven initiatives. We demonstrated how artificial intelligence is being embedded into our platform to support more efficient workflows, faster access to operational data, and better decision-making. Attendees saw how AI can help with natural language queries, document search, automated form classification, and streamlined change request processes.

Looking Ahead

This year’s User Conference was more than just a showcase of technology - it was a conversation with our customers and partners about the future of airline operations. The feedback we received during and after the event was overwhelmingly positive. Attendees praised the opportunity to connect directly with our product teams, learn from other airlines’ experiences, and see how our solutions are evolving to meet real operational needs.

We place great value on individual feedback. Throughout the conference, participants shared their ideas, challenges, and feature requests in open discussions and dedicated sessions. These insights are essential to how we shape our roadmap: they help us refine our products, prioritize improvements, and identify opportunities to innovate where it matters most for airlines.

We’re already using the input gathered in Kraków to plan the next conference format - including a mix of general sessions for everyone and focused workshops tailored to specific operational domains. Our goal is to make each conference an even more valuable experience for every attendee, whether they join to discover new technology, influence product direction, or exchange best practices with peers.

Smart4Aviation Signs Long-Term Agreement with Smartwings

Smart4Aviation is proud to announce the signing of a long-term contract with Smartwings, the leading airline in the Czech Republic. The agreement, signed on March 20, 2025, will run through to the end of 2031, marking the beginning of a strategic partnership focused on enhancing operational efficiency and modernising flight deck processes.

Under the contract, Smartwings will implement Smart4Aviation’s state-of-the-art Electronic Flight Folder (EFF) solution for pilots. The comprehensive package includes Smart4Aviation’s Smart MOBILE iOS iPad application, supported by an advanced web-based administrative platform designed to streamline workflows and empower the dispatch team with real-time, integrated tools.

The solution will be fully integrated with Smartwings’ existing systems and tailored through dedicated development efforts to meet the airline’s specific operational needs. As part of the initial scope, Smart4Aviation will deliver the following fully integrated modules that will make up the single platform:

Smart CORE / SIS / PORTAL (core administrative modules including user and role management, user settings, aircraft database, station information module and access portal),
Smart MOBILE iOS iPad (dedicated iOS mobile solution for pilots that includes Navlog, fuel order, ATC flight plan, documents, scratch pad, seatmap, interactive map and weather with NOTAMs information and many more features),
Smart BRIEF (web-based briefing application that provides the automated preparation of Briefing Package),
Smart MET (weather briefing and monitoring module that gives access to worldwide weather information),
Smart NOTAM MANAGER (advanced solution designed to improve and automate generation, processing, filtering, storage and retrieval of NOTAMs),
Smart VIEW (interactive flight monitoring solution),
Smart CREW INFO (a module that provides access to roster information, company messages and notifications),
Smart DOC (convenient and easy-to-use central repository for all types of operations-related documents),
Smart eFORMS (customisable platform that can easily manage multiple reporting and workflow processes with the help of templates).

The solution will be hosted on Amazon Web Services (AWS) infrastructure managed by Smart4Aviation. In addition, Smartwings has opted for additional Weather layers provided by Smart4Aviation’s partner DTN to enhance weather awareness for Pilots and Dispatchers.

The seat map functionality is now seamlessly integrated into the Smart MOBILE application for Cabin Crew, offering a comprehensive array of key functionalities, including:

An interactive, scrollable grid displays information about exits, passenger seats, crew seats, WC, galley, closet, stairs, bulkheads and sink locations.
Seat row numbers and letters.
Different cabin classes.
A list view of all passengers is accessible from the module.
Filters in both list and grid view to display passengers, infants, SPML, SPAT, pre-booking information and connection information.
Clear display of seat details (name, class, label).
Option to relocate/swap passengers.
Ability to add restrictions for passengers changing seats.
Ability to add, edit and remove notes on passengers.
Individual passenger details including SPML, SPAT, pre-orders information and connection information.
View vacancy details and mark seats as vacant, broken or blocked.
Zone counts with rows per zone and number of occupied/unoccupied seats.

Iberia welcome onboard!

In these special times of hardship and uncertainty caused by COVID-19, we are pleased to announce our new customer in Europe – Iberia Airlines (part of the IAG Group). At the signature of the contract with Smart4Aviation in April 2020, Iberia Airlines confirmed the key role of Smart4Aviation solutions in rejuvenating and enhancing its daily operations. Besides Iberia mainline, the solution will be used by Iberia Airport Services to perform load planning functions for their Station Customers.

Iberia’s large-scale project is dedicated to automation and digitalization of its operations proved to address a vast number of needs generated by its Weight & Balance services. Significant volume indicators, as well as ever-growing system demand and operating stations, called for a complex, yet easy-to-handle W&B solution which will help maximize efficiency and simplify their operational processes.

The new format of SNOWTAMs supported in Smart NOTAM MANAGER

S4A Smart NOTAM MANAGER among other message types handles SNOWTAMs provided by various publishers. Those SNOWTAMs are then made available for users (crews, dispatchers, etc.) within the system itself, as well as other Smart4Aviation products.

The amendment 39 to ICAO's Annex 15 effective from the 5th of November 2020 introduces a new SNOWTAM format to be disseminated by publishers. Beginning from version 3.7 of the Smart NOTAM MANAGER the new format will be fully supported by S4A's solutions.

24 April 2019: Inmarsat, the world leader in global mobile satellite communications, has certified Smart4Aviation’s Electronic Flight Bag (EFB) application, Smart MOBILE, for use on its award-winning SB-S digital aircraft operations platform.

Smart MOBILE is a unique solution that allows pilots, cabin crew and other airline employees to access, complete and submit documentation quickly and efficiently on their mobile devices via a single portal, helping to increase productivity, operational awareness and efficiency. It also enables peer-to-peer communication, ACARS messaging and provides instant access to briefing packages and important flight-related information, such as up-to-date weather reports and potential load, fuel and hazard alerts.

The application can be tailored to match each airline customer’s exact requirements to deliver tangible cost savings. Benefits include a reduction in the frequency and duration of flight delays, together with improvements to on-time performance. In addition, increased automation and real-time information translates to a reduction in workload, resulting in less bottlenecks for both flight and cabin crew.

Smart MOBILE is the latest in a range of value-added operational and safety applications to be certified via Inmarsat’s Aviation Certified Application Provider (CAP) Programme for SB-S. Annual ATC awards 2019 recognise Smart4Aviation, Qantas and Frequentis for enabling flight efficiency and fuel savings

The annual IHS Jane’s ATC awards 2019 took place again at World ATM Congress in Madrid to reward companies and projects across six categories for their work over the previous 12 months. Australian airline Qantas developed a flight planning platform jointly with Frequentis, Smart4Aviation and the University of Sydney, to enable efficiency and fuel savings, winning this year’s Technology award.

The Qantas flight planning platform (Constellation) can ingest rich data sets from external sources, allowing it to continually assess and adjust its flight paths while en-route, providing for the flexibility to fit with flow constraints, reduce fuel consumption and emissions and increase safety.

Frequentis provided smartDM, part of the Frequentis integrated smartAIM/CADAS portfolio, which allows Qantas to ingest global aeronautical data including digital NOTAM. The solution also allows Qantas to manage a layer of company navigation data that supports the flight planning engine to optimize within approved company constraints such as company routes and freeflight airspace. Based on this data, flight planning and flight plan optimisation is performed resulting in increased safety through accurate navigation data constraint modelling, better fuel prediction and significant business process improvements.

Experts in integration, Smart4Aviation connected over 30 different operational systems reducing the amount of backend effort required to manage a system of this complexity. Another Smart4Aviation key contribution, was our the Airport Suitability module which analyses airports and airspace for operational status permitting the generation of highly accurate and fully compliant automated flight plans.

Moreover, Smart4Aviation has integrated its acclaimed Smart BRIEF, Smart NOTAM MANAGER, Smart MET, Smart COMM, and Smart VIEW+ solutions with other Qantas applications, thereby feeding the engine an enormous amount of valuable and timely operational data while creating a second to none overall operational experience.

Qantas embarked on a project to replace its aging mainframe-based flight planning system in 2013 by engaging the University of Sydney to research and prototype an innovative path optimiser using Probabilistic Road Map (PRM) techniques. Qantas then engaged leading aviation software providers Frequentis and Smart4Aviation to provide the remaining components of the platform and migrate to a cloud environment. A key requirement was support for automation and future proofing through adoption of standards such as AIXM 5.

The annual IHS Janes ATC awards allow companies the opportunity to nominate innovative, field-proven technologies and projects, which are then reviewed by an experienced panel of industry experts. The technology award reflects significant contributions by equipment and systems suppliers.

Introduction to S4A's Flight Planning System developed together with Qantas

On the surface, it seemed to be just another long haul flight, but for Qantas and Smart4Aviation it was anything but routine.

This “routine” flight was the first live flight test of what is anticipated to be the most sophisticated and efficient flight planning system available in the industry.

"This is the start of something really big", stated Qantas Program Manager - Geoff Bell; as he outlined how the event is a landmark achievement for Qantas, marking the final stages of a multi-year, multi-vendor project.

“Qantas and Smart4Aviation have partnered on a ground breaking, state of the art flight planning system designed to provide strategic operational and commercial advantages that only a best of breed planning system can deliver”, explained Smart4Aviation CEO Michael Lewis. The planning efficiencies and resulting savings generated by this new system are particularly relevant against the backdrop of the current aviation environment of rising fuel and operating costs.

Underpinning the system is arguably the most advanced optimizer fielded in the aviation industry today. Using an advanced probabilistic roadmap algorithm, the optimizer was developed as a Qantas and Australian Centre for Field Robotics (ACFR) joint project.

Deployment of the system throughout the Qantas operation will be done on a fleet by fleet basis, focusing initially on wide-body aircraft. This first phase concentrates on achieving initial projected cost savings while subsequent phases will increase automation and target further operational efficiencies and savings.

Qantas expect the new flight planning system to deliver on all cost savings targets, meeting all objectives.

"To be a technology and innovation leader in flight planning is not something that is easily done", explained Smart4Aviation CEO Lewis. "However, this is exactly the goal we have undertaken with our Qantas partners."

From project inception, Qantas and Smart4Aviation agreed the goal of this next generation flight planning system was to create a single, common platform to integrate operational and business decisions to gain maximum efficiency, predictability and flexibility in flight operations, without ever compromising safety. Automation is key and central to the design strategy.

Dispatchers will simply be providing guidance to the system, and reacting to exception based alerts. This approach allows operations staff to focus on higher value tasks and for targeting increased efficiency and the ability to focus on planning the safest, legal and most cost effective way to transport the optimum amount of payload between two points. Even more importantly, the system allows for an unswerving commitment to safety and efficient flight operations

Data management and data exchange with other stakeholders in the flight planning process is also a core feature of this next generation flight planning system design. As Aeronautical Information Management (AIM) matures, carriers will need a platform to successfully collaborate with these external stakeholders in a bi-directional manner. Examples include: anticipated airport acceptance and arrival rates, parameters for ground delays as well airline cancellations, revised schedules and routes, trajectory optimizations for traffic patterns, etc.

To support this sharing of data, the system currently provides extensive AIXM and WIXM support. FIXM support will be a future implementation, together with support for such concepts as Target Arrival Time together with ATM and CDM integration.

The Probabilistic Road Map (PRM) optimizer - the “engine” of the system - itself state of the art, was developed as a Qantas and Australian Centre for Field Robotics (ACFR) joint project. The fully compliant AIXM navigational database is sourced from Frequentis.

Following additional Smart4Aviation applications round out the overall operational solution:

Combined with S4A Smart COMM, all data and information can be easily be automatized, processed, filtered, adjusted and delivered to pre-defined user groups or roles within an airline or airport operation as well as to any 3rd party partners and contractors who can collaborate on operational problems and situations. In S4A Smart COMM, over 70 types of alerts can be established to warn of any operational conditions, enabling users a comprehensive view of airline operations in real time. All former Virgin America aircraft started to be operated in the S4A Smart LOAD

Smart4Aviation is very proud to be one of the most trusted vendors of Alaska Air Group. The use of S4A Smart COMM (communication and alerting) and S4A Smart LOAD (weight and balance) has successfully supported Alaska Air Group’s daily operations since 2014 delivering automation flight ratio at the level of 80%. Years of cooperation have resulted in a variety of achieved milestones and delivered projects, the last being connected with the strategic operational merger between Alaska Airlines and Virgin America.

On Tuesday, June 19th all former Virgin America flights ~(73 Airbus aircraft) started to be operated in the S4A Smart LOAD application under the aegis of the single Central Load Planning Department (CLP) (currently ~283 aircraft in total). 250 flights per day were added to the S4A Smart LOAD and S4A Smart COMM process. More than 3,200 employees have been positively affected by this change – primarily Airport Operations & Customer Service (AOCS) and Airbus pilots. Interestingly, the readiness of Alaska Air Group business units was significant to achieve desired merger goals, including the preparation of required updates to manuals and FAA regulatory approval. The payoff will be not only increased efficiencies at the stations, but also future IT savings thanks to decommission of Virgin America legacy systems. Cutover itself proceeded seamlessly, with no incidents reported. A significant benefit to this change is that former Virgin America Airbus aircraft can now support additional cargo items – which will increase Alaska Air Group revenue!

This result could be achieved thanks to successful roll-out of S4A Smart LOAD and S4A Smart COMM applications throughout former Virgin America flights operations.

Our Smart LOAD (together with integrated Smart COMM system) is the fully automated “Exception Based” Weight & Balance solution which fully automates the entire load planning, monitoring and execution process. Through the union of the Smart LOAD and Smart COMM applications, loading restrictions, irregularity handling, and direct communication are no longer challenges for any Airline.

As the system receives real-time information from the Flight Planning, Passenger Reservation, Check-in Baggage, Cargo, as well as other systems, Smart LOAD automatically performs Weight & Balance calculations which are continually recalculating throughout the loading process. Once achieved certain pre-defined milestones or thresholds the system will re-issue new fuel, loading instructions and/or final load number to the crew.

The solution will ensure the best possible Center of Gravity and the exception based functionality means that the only time that any part of loading process requires manual interaction is when one of the exception rules is broken, If no rules are broken Smart LOAD will complete the entire process from issuing estimated zero fuel weight, fuel to the supplier, loading instructions to the ramp, issue final numbers to the crew plus any other departure messages such as UCM/LDM/CPM.

Our Smart LOAD is currently used by Air Canada, Alaska Airlines, Horizon Air, Martinair and Sky Regional Airline.

Smart4Aviation Group announces new Senior Management Organization

Michael Lewis, who currently serves as President and CEO of Smart4Aviation Technologies Americas and VP Global Sales, Marketing and Product Development for Smart4Aviation Technologies BV, will succeed Dirk-Jan Baas, the company's founder and current CEO, as President and CEO of the Smart4Aviation Technologies Group of companies.

Mr. Baas will lead on our newest venture Smart4Aviaion Flight Management a company dedicated to improving the overall efficiency of Flight Operations. Mr. Lewis has 25 years aviation and flying experience. He held a Canadian ATR pilot's license and acted as flight crew on transport category and high performance aircraft. Michael was also Manager of IT for the Flight Operations Branch of Air Canada and was a certified Chief Duty Dispatcher.

Dirk-Jan Baas stepped down from the function of CEO in favor of leading the fledgling company in the Smart4Aviation Group, Smart4Aviaion Flight Management. Mr. Baas expressed confidence in the board's choice by stating.
